This document outlines the terms, policies, and service conditions for all clients of GLOW ROOM. Its purpose is to ensure clarity, set expectations, and protect both client and stylist. By booking an appointment, you acknowledge and accept the terms detailed below. The language is intentionally clear and accessible, avoiding unnecessary legal jargon while still functioning as a protective agreement.

1. Pricing Overview
All services begin with a base price.
Services marked with a “+” may incur additional charges based on the following factors:
• Hair length
• Hair density
• Additional time required to complete the service
Up-charges are assessed at the stylist’s professional discretion and will be discussed if they meaningfully affect the final price.

2. Loyalty & Incentive Programs
GLOW ROOM offers two optional incentive programs to support consistent hair care and client savings. The details below provide expanded fine print beyond the general information available online. Both offers are only available for appointments booked in-salon.
A. Consistent Care (Standing Appointment Discount Program)
Program Overview
Clients who commit to a recurring, standing appointment qualify for percentage-based discounts as long as their attendance remains consistent.
Discount Structure
• Initial Benefit: 5% off each service when you hold and maintain a standing appointment slot.
• Progressive Discount: additional 5% off per consecutive completed appointment, up to a maximum of 15% off total service price.
Discounts apply only to the booked service for that appointment and cannot be used retroactively.
Eligibility Requirements
To maintain eligibility:
• appointments must be kept on schedule and attended as committed
• rescheduling must follow all stated policies
• the standing appointment must repeat at a consistent interval (determined at time of setup)
Conditions That Reset the Discount
Your discount progress resets to 0% if any of the following occur:
— You cancel or reschedule with less than 24 hours notice.
— You miss an appointment without notice (no-show).
— You discontinue your standing appointment.
— You attempt to shift your recurring appointment outside an acceptable schedule rhythm.
— You repeatedly arrive late enough to require rescheduling.
Upon reset, the program can be resumed at the base benefit when consistency is re-established.
Limitations
• discount cannot exceed 15%
• discount cannot be transferred to products, other clients, or other services
• the program applies only to services booked under the standing appointment slot
B. Bundle of Three (Prepaid Service Package)
Program Overview
Clients may purchase a package of three prepaid services at a discounted rate. This program is intended to support predictable maintenance schedules and reward clients who follow recommended haircut intervals. These intervals help maintain shape, manage grow-out, and preserve style.
Recommended Use Intervals
• Short hair: every 4–6 weeks
• Short+: every 6–8 weeks
• Medium/Long: every 10–12 weeks
Discount Breakdown
Save approximately 9–10% annually when you bundle your services. The following table is a breakdown of percentage discounts by four service types, calculated by regular total vs. bundle price.

Activation & Expiration
• the bundle becomes active after the first service is redeemed
• the bundle remains valid until all three services are used
• bundles do not expire within a fixed number of months but must be used within schedule-appropriate intervals to maintain intended value.
Usage Conditions
• bundles apply only to the designated service type purchased
• additional services or add-ons must be paid separately at the time of service
• bundles are non-transferable and may only be used by the purchasing client
No-Show Clause
If you miss an appointment without providing notice:
• one bundle credit is automatically forfeited and counted as a completed service
• a $25 rebooking fee still applies and must be paid before scheduling another appointment
Rescheduling Rules
• rescheduling within the 24-hour window may affect the validity of the recommended maintenance rhythm
• repeated late reschedules may result in the bundle’s discount value being voided for remaining services
Purchasing Additional Bundles
A new bundle may be purchased once all three previous services of the same service type have been completed or forfeited.

3. Booking & Payment
Appointments can be made online through the GLOW ROOM booking system.
Payment Requirements
• no deposit required
• payment is due immediately after your service
• accepted forms: cash, card, and contactless payments
Prices listed online are subject to adjustment based on hair length, density, and time required.

4. Rescheduling & Cancellation
Clients must provide 24 hours notice to cancel or reschedule an appointment.
If notice is given with less than 24 hours:
• a $25 rebooking fee may be charged, and must be paid before booking future appointments
• repeated occurrences may result in a “Do Not Book” status
This policy is in place to protect the stylist’s income and ensure fairness for all clients.

5. No-Show Policy
A No-Show is defined as missing an appointment without any form of communication prior to the appointment start time.
In event of a No-Show:
• a $25 rebooking fee is required before booking again
• loyalty discounts reset
• for bundle clients, one credit is forfeited as if used
Chronic no-shows may result in permanent refusal of service.

6. Late Arrival Policy
If you are running late, please send a message to notify the stylist of your estimated time of arrival.
If arrival exceeds 15 minutes:
1. Be rescheduled (rebooking fee waived), or
2. Receive a reduced-duration version of your service, without any reduction in price.
Repeated habitual lateness may affect eligibility for incentive programs.

7. Client Responsibilities
Clients agree to:
— Disclose information about hair history, chemical processes, allergies, sensitivities, and any relevant medical or hormonal factors that may impact results.
— Follow aftercare instructions provided by the stylist.
— Arrive with hair in a condition suitable for the service booked (unless otherwise instructed).
— Book services appropriate for their needs.
Failure to provide accurate or complete information may result in unintended outcomes for which the stylist cannot be held responsible.

8. Service Outcomes & Limitations
The stylist commits to providing professional, high-quality services. However:
• hair results may vary based on individual factors including texture, density, hair history, environmental exposure, and at-home maintenance
• adjustments may be offered at the stylist’s discretion but are not guaranteed
• refunds are not provided once a service has been completed
Clients understand that personal preference changes after leaving the salon do not qualify for refunds.

9. Safety, Conduct & Right to Refuse Service
The stylist reserves the right to refuse or discontinue service due to:
• abusive, unsafe, or inappropriate behavior
• failure to comply with policies
• indications that a service may compromise client safety or hair integrity
In such cases, clients may still be responsible for payment of time already spent.

10. Limitation of Liability
GLOW ROOM and its stylist are not liable for:
— Reactions due to undisclosed allergies or sensitivities.
— Damage resulting from at-home care not recommended by the stylist.
— Results affected by previous chemical processes or undisclosed hair history.
— Service dissatisfaction based on personal preference after the service.
— Financial losses related to late, cancelled, or missed appointments.
By booking, clients agree to these terms in full.
